Chat Access Permissions

Configuring employee access to chats in AlphaChat.

Chat Access Permissions

In AlphaChat, chat access permissions are configured in Settings → Administration → Employee access to chats.

Currently, chat access is based on the responsible manager assigned to the client in the connected CRM.

Before configuring permissions, you need to link AlfaChat users with CRM users.

Go to Settings → Administration → Users.

Next to each user, click the Link button.

In the window that opens, select the corresponding user from the connected CRM.

After saving the link, AlfaChat will be able to determine which employee is responsible for each client.

Linking users only needs to be done once. After that, information about responsible employees will be automatically used when configuring access permissions.

Step 2. Configure access permissions

After linking users, open Settings → Administration → Employee access to chats.

For each user, you can separately configure view and send permissions.

All chats

Provides access to all chats in the organization regardless of the responsible manager.

You can choose one of the following options:

  • No access — the employee cannot see all chats.
  • Read — the employee can view all chats.
  • Write — the employee can view and participate in all chats.

Unassigned

Determines access to chats for clients who do not yet have a responsible manager assigned in the CRM.

The available options are:

  • No access
  • Read
  • Write

Other employees' chats

Below is a list of all users linked to the CRM.

For each employee, you can select an access level:

  • No access — this employee's chats are not displayed.
  • Read — can only view conversations.
  • Write — can view conversations and send messages on behalf of this employee.

This allows you to, for example:

  • give a manager access to all chats;
  • allow a senior manager to assist a specific employee;
  • restrict each manager to only their own clients.

Configuration example

Suppose you need to configure permissions for manager Anna.

You can choose the following settings:

  • All chats — No access.
  • Unassigned — Write.
  • Ivan Petrov — Read.
  • Maria Sokolova — No access.

As a result, Anna will be able to:

  • work with her own clients;
  • respond to clients without an assigned manager;
  • view Ivan Petrov's conversations but not reply to them;
  • not see Maria Sokolova's chats.

After changing permissions, new settings take effect immediately. No channel reconnection or user re-login is required.
