How we collect, process, and protect personal data

AlfaChat (hereinafter referred to as the “Operator”, “AlfaChat”, “we”, “us”, or “our”) provides communication and customer relationship management tools, including the AlfaChat browser extension and related services.

This Privacy Policy explains how we collect, use, process, store, and share information when users access or use AlfaChat and the AlfaChat browser extension.

1. GENERAL PROVISIONS

1.1. This Privacy Policy applies to information processed by AlfaChat:

  • when using the AlfaChat browser extension;
  • when using the AlfaChat service;
  • when users interact with AlfaChat;
  • when AlfaChat processes data on behalf of its users;
  • when AlfaChat integrates with third-party communication and CRM services.

1.2. By using AlfaChat, the User acknowledges the practices described in this Privacy Policy.

1.3. If the User does not agree with this Privacy Policy, the User should discontinue use of the Service.

1.4. AlfaChat processes only the information necessary to provide, maintain, secure, and improve the functionality made available to the User.

2. TERMS AND DEFINITIONS

  • Personal Data - information relating to an identified or identifiable individual.
  • User Data - information provided by, collected from, or generated in connection with a User’s use of AlfaChat.
  • Processing - any operation performed on Personal Data or User Data, including collection, storage, access, use, transmission, modification, or deletion.
  • User - a person using AlfaChat or the AlfaChat browser extension.
  • User’s Clients - persons with whom the User communicates through AlfaChat.
  • Service - the AlfaChat software platform, including its browser extension, web application, communication tools, integrations, and related functionality.
  • Personal Account - the interface through which the User accesses AlfaChat.
  • Processing on Behalf of the User - processing of data by AlfaChat in order to provide functionality requested by the User.

3. ROLES IN PERSONAL DATA PROCESSING

3.1. With respect to information provided directly by Users for the purpose of creating and managing their AlfaChat accounts, AlfaChat determines the purposes and methods of processing.

3.2. With respect to Personal Data belonging to the User’s clients and contacts:

  • AlfaChat processes such data on behalf of the User;
  • processing is performed only for the purpose of providing AlfaChat functionality;
  • AlfaChat does not independently determine the purposes for which the User processes such data.

3.3. The User is responsible for determining:

  • the purposes for which the User processes Personal Data;
  • the categories of Personal Data processed;
  • whether the User has the necessary rights and permissions to process such information;
  • whether Personal Data may be transferred to and processed through AlfaChat.

3.4. AlfaChat processes Personal Data belonging to the User’s clients:

  • only in connection with functionality requested by the User;
  • only to the extent necessary to operate the Service;
  • in accordance with the User’s actions and instructions.

3.5. AlfaChat does not independently verify:

  • how the User originally obtained Personal Data;
  • whether the User has obtained all permissions required for its own processing activities;
  • the content of communications initiated by the User.

4. USER RESPONSIBILITIES

4.1. By transmitting Personal Data through AlfaChat, the User represents that the User has the necessary rights and permissions to process and transmit such information.

4.2. The User agrees:

  • not to use AlfaChat for unlawful processing of Personal Data;
  • not to transmit information that the User is not authorized to process;
  • to respect the rights and privacy of individuals whose information is processed through AlfaChat;
  • to use the Service only for legitimate business and communication purposes.

4.3. The transfer of information through AlfaChat authorizes AlfaChat to process such information only as necessary to provide the requested Service functionality.

4.4. The User remains responsible for:

  • the content of information transmitted through AlfaChat;
  • communications initiated by the User;
  • determining whether the User is permitted to process Personal Data belonging to third parties.

5. INFORMATION WE COLLECT AND PROCESS

5.1. AlfaChat may process information relating to Users, including:

  • first and last name;
  • telephone number;
  • email address;
  • account information;
  • authentication information required to access the Service;
  • subscription or billing-related information where applicable;
  • information voluntarily provided by the User.

5.2. When providing communication functionality on behalf of the User, AlfaChat may process information relating to the User’s clients and contacts, including:

  • names and contact details;
  • telephone numbers;
  • information displayed on supported web pages when required by the functionality initiated by the User;
  • message content and correspondence;
  • communication history;
  • CRM-related information;
  • other information transmitted by the User through the Service.

5.3. The AlfaChat browser extension may access information on supported websites only when required to provide its disclosed functionality.

For example, where the extension provides the ability to initiate communication with a telephone number displayed on a web page, the extension may detect or access that telephone number in order to perform the action requested by the User.

5.4. AlfaChat does not collect web browsing activity for advertising, profiling, or unrelated analytics purposes.

5.5. AlfaChat may automatically process limited technical information necessary to operate, secure, and diagnose the Service, including:

  • IP address;
  • browser type and version;
  • operating system and device information;
  • extension version;
  • technical logs;
  • error and diagnostic information;
  • authentication and session information;
  • actions performed within AlfaChat.

5.6. AlfaChat does not intentionally collect information from websites that is unrelated to the functionality of the Service.

6. MESSAGES AND COMMUNICATION DATA

6.1. AlfaChat provides technical functionality for:

  • sending and receiving messages;
  • displaying conversations;
  • initiating conversations from supported websites;
  • storing and synchronizing communication history;
  • integrating communications with external messaging services and CRM systems.

6.2. Messages and correspondence transmitted through AlfaChat may be stored on AlfaChat infrastructure where necessary to provide the Service.

6.3. AlfaChat does not determine the content of messages sent by Users.

6.4. Authorized AlfaChat personnel may access User Data only where reasonably necessary:

  • to provide technical support requested by the User;
  • to diagnose and resolve technical problems;
  • to investigate security incidents or abuse;
  • to maintain the security and reliability of the Service.

6.5. AlfaChat does not allow employees or contractors to access private communications for unrelated purposes.

6.6. AlfaChat does not use message content:

  • for advertising;
  • to create advertising profiles;
  • to sell information to third parties;
  • for purposes unrelated to providing or improving AlfaChat functionality.

7. PURPOSES OF DATA PROCESSING

7.1. AlfaChat processes User Data only for purposes related to providing and operating the Service, including:

  • registering and authenticating Users;
  • providing access to AlfaChat functionality;
  • enabling communication through supported messaging services;
  • enabling Users to initiate communications using information displayed on supported websites;
  • integrating communication data with CRM systems;
  • synchronizing conversations and related information;
  • providing customer and technical support;
  • securing AlfaChat accounts and infrastructure;
  • preventing fraud, abuse, and unauthorized access;
  • diagnosing technical problems;
  • maintaining logs required for security and reliability;
  • improving the functionality, reliability, and performance of the Service;
  • generating aggregated or anonymized operational statistics.

7.2. AlfaChat does not use User Data for purposes unrelated to the disclosed functionality of AlfaChat.

7.3. AlfaChat does not use or transfer User Data for personalized advertising.

7.4. AlfaChat does not sell User Data.

7.5. AlfaChat does not transfer User Data to data brokers, advertising networks, or information resellers.

8. CHROME EXTENSION DATA USE

8.1. The AlfaChat browser extension is intended to provide AlfaChat communication functionality directly within the User’s browser.

8.2. Depending on the functionality used, the extension may:

  • detect telephone numbers displayed on supported web pages;
  • allow the User to select or initiate communication with a detected telephone number;
  • communicate with AlfaChat servers to authenticate the User and perform requested actions;
  • display AlfaChat communication functionality within the extension interface.

8.3. Website content accessed by the extension is used only when required to provide functionality requested by the User.

8.4. AlfaChat does not use information accessed through the browser extension to track the User’s browsing activity across websites.

8.5. AlfaChat does not use browsing information for:

  • advertising;
  • behavioral profiling;
  • determining creditworthiness;
  • sale to third parties;
  • unrelated analytics or marketing.

8.6. AlfaChat requests only browser permissions that are necessary to provide the functionality described to the User.

9. SHARING OF INFORMATION

9.1. AlfaChat may share User Data with third parties only where necessary to provide or support the Service, including:

  • communication platforms used by the User;
  • CRM systems selected by the User;
  • infrastructure and hosting providers;
  • security and monitoring providers;
  • technical service providers acting on behalf of AlfaChat.

9.2. Depending on the integrations enabled by the User, recipients may include:

  • WhatsApp-related services;
  • Telegram;
  • Max;
  • AlfaCRM;
  • infrastructure and hosting providers;
  • other services explicitly connected by the User.

9.3. AlfaChat shares only the information reasonably necessary for the relevant functionality.

9.4. AlfaChat may disclose information where required to comply with applicable law or a valid legal request.

9.5. AlfaChat does not sell, rent, or otherwise disclose User Data to third parties for their own advertising or marketing purposes.

9.6. Third-party services integrated with AlfaChat may process information according to their own privacy policies and terms.

9.7. The User independently chooses whether to enable and use third-party integrations.

10. DATA RETENTION AND DELETION

10.1. AlfaChat retains Personal Data only for as long as reasonably necessary to provide the Service and fulfill the purposes described in this Privacy Policy.

10.2. User account information may be retained:

  • while the User maintains an active AlfaChat account;
  • while necessary to provide the Service;
  • for a limited period after termination where required for security, dispute resolution, fraud prevention, accounting, or other legitimate operational requirements.

10.3. Data processed on behalf of the User may be retained:

  • while the User uses AlfaChat;
  • while required to provide communication history and related functionality;
  • until the User deletes the relevant information or requests its deletion, where supported.

10.4. When information is no longer required, AlfaChat may delete or anonymize it.

10.5. Aggregated or anonymized information that can no longer reasonably identify an individual may be retained for operational, statistical, and analytical purposes.

11. DATA SECURITY

11.1. AlfaChat implements reasonable organizational and technical measures designed to protect User Data against unauthorized access, disclosure, alteration, destruction, or loss.

11.2. Such measures may include:

  • access controls;
  • authentication and authorization mechanisms;
  • encrypted transmission of data;
  • server and database security controls;
  • infrastructure monitoring;
  • security logging;
  • software updates and vulnerability management;
  • backup procedures;
  • restrictions on employee access to User Data.

11.3. Access to Personal Data by AlfaChat personnel is limited to persons who require such access to perform their responsibilities.

11.4. User Data transmitted between the AlfaChat browser extension and AlfaChat infrastructure is transmitted using secure encrypted connections.

11.5. Authentication credentials and other sensitive information are handled using appropriate security measures and are not intentionally disclosed publicly.

12. USER RIGHTS AND CHOICES

12.1. Depending on the circumstances and applicable privacy requirements, Users may request:

  • information about Personal Data processed by AlfaChat;
  • correction of inaccurate Personal Data;
  • deletion of Personal Data;
  • restriction of certain processing;
  • termination of their AlfaChat account.

12.2. Requests relating to Personal Data controlled by an AlfaChat customer may need to be directed to that customer.

12.3. Where AlfaChat processes information on behalf of a User, AlfaChat may assist the User with applicable data requests where technically feasible.

13. THIRD-PARTY SERVICES

13.1. AlfaChat may interact with third-party messaging platforms, CRM systems, and other services.

13.2. These third-party services operate independently from AlfaChat and may have their own privacy policies and data practices.

13.3. AlfaChat is not responsible for independent processing performed by third-party services outside AlfaChat’s control.

13.4. Users should review the privacy policies of third-party services they choose to connect to AlfaChat.

14. CHROME WEB STORE LIMITED USE

AlfaChat’s use and transfer of information received through the Chrome browser extension complies with the Chrome Web Store User Data Policy, including the Limited Use requirements.

Information accessed through the AlfaChat browser extension is used only to provide or improve the functionality disclosed to the User.

AlfaChat does not:

  • sell User Data;
  • use User Data for personalized advertising;
  • transfer User Data to advertising platforms, data brokers, or information resellers;
  • use browsing activity for purposes unrelated to the extension’s disclosed functionality;
  • allow human access to User Data except where necessary for providing requested support, security purposes, legal requirements, or other circumstances permitted by the Chrome Web Store User Data Policy.

15. CHILDREN’S DATA

15.1. AlfaChat is designed as a business communication tool and is not intended to be used directly by children as account holders.

15.2. Where Users process information relating to minors through AlfaChat, the User is responsible for ensuring that such processing is authorized and appropriate.

15.3. AlfaChat processes such information only as necessary to provide the functionality requested by the User.

17. CHANGES TO THIS PRIVACY POLICY

AlfaChat may update this Privacy Policy when the Service, browser extension, data practices, or applicable requirements change.

The current version of this Privacy Policy will be published on the AlfaChat website.

Where required, material changes affecting the way User Data is collected or used will be disclosed to Users before the updated practices take effect.
